1. Start with the room type and operating brief

Define what the room must support before choosing the cabinet layout: guest luggage, hanging length, safe or minibar location, housekeeping access, accessible-room variations and the operator's cleaning routine. A room-type matrix should separate standard, mirrored and exceptional layouts.

Record the room code, elevation, quantity, revision and any difference from the reference room. Do not let a visual standard silently become a manufacturing standard when the operating brief has changed.

2. Freeze finished dimensions, not early shell dimensions

Production dimensions should describe the room the installer will receive after flooring, skirting, wall lining, paint, carpet and ceiling details are complete. Mark what is measured, what is an allowance and who confirms the final site condition.

Show fillers, scribes, shadow gaps, plinths and adjustable pieces explicitly. A single overall width hides the tolerance that will decide whether doors, drawers and panels meet cleanly.

3. Coordinate equipment and electrical interfaces by model

If a room includes a minibar, safe, television, lighting, USB outlet or charging point, list the actual model or approved performance requirement. Nominal cabinet symbols do not define ventilation, cable bend radius, fixing, door swing or maintenance access.

The UK electrical and building teams appointed by the client confirm local requirements and connections. The joinery drawings should show only the approved openings, routes and removable panels.

4. Treat materials, hardware and cleaning as one decision

Guest-room joinery is handled, cleaned and repaired repeatedly. Specify the panel support, finish, edge treatment, hardware family, soft-close requirement and replaceable parts together, then review them beside the floor, wall covering and upholstery.

A sample is useful only when it is coded, dated and linked to the drawing revision. A mood image without a material reference is not an instruction for repeat production.

5. Test the highest-risk detail before repeating the room

Choose one detail that combines the most interfaces: a wardrobe beside a skirting return, a lit shelf above a minibar, a headboard meeting a wall finish or a removable service panel. Review proportion, opening, cleaning, cable access and replacement before approving the room matrix.

Record the issue, decision, drawing revision and responsible approver. A photograph can support the record, but it does not replace the coded revision.

6. Build packaging around the installation sequence

Cartons should repeat the building, floor, room type, room number, elevation, item and drawing revision used by the installer. Separate fragile fronts, hardware kits and room-specific accessories so the team can distribute a room without opening every package.

The named UK team confirms unloading, lift reservations, dry storage, room protection and the sequence of installation. Incoterms® 2020 can allocate certain delivery costs, obligations and risks, but it does not automatically assign installation, storage or acceptance.

7. Compare proposals by release quality, not headline price

Ask each supplier to price the same room matrix and identify drawings, samples, hardware, packaging, labels, quality records, replacement rules and exclusions. A lower total may simply leave coordination work or local handling outside the scope.

The useful comparison is the amount of uncertainty left at production release. Require a clear review route and a named person who can sign the approved revision.

8. Write the UK site boundary before ordering
